By accessing or using the Mobilearn website, mobile applications, or any related services (collectively, “Mobilearn” or “Services”), you agree to the practices described here. If you do not agree, you should not use Mobilearn or provide any personal information. 

This Privacy Policy explains how we collect, use, store, share, and protect information in connection with Mobilearn, our microlearning and gamified training platform. 

  1. WHO WE ARE 

“Mobilearn”, “we”, “our”, or “us” refers to Mobilearn, a product owned and operated by:

  1. SCOPE OF THIS PRIVACY POLICY 

This Privacy Policy applies to: 

  1. Visitors to our website or landing pages 
  2. Users of the Mobilearn mobile applications and web-based admin or learner portals 
  3. Representatives of our client organizations (for example HR, L and D, compliance, business heads)
  4. Learners who access Mobilearn through their employer or institution 

If you are using Mobilearn as part of an enterprise account, your use may also be governed by a separate agreement between your organization and Vilok Solutions Private Limited. In case of any conflict, that agreement will prevail for enterprise use. 

  1. ACCEPTANCE AND CHANGES TO THIS POLICY 

By using Mobilearn, you are agreeing to this Privacy Policy and to any other terms referenced in it. 

We may update this Privacy Policy from time to time. The updated version will be posted on our website and may also be shown inside the app. Your continued use of Mobilearn after changes are posted will mean you accept the revised Privacy Policy. You are responsible for reviewing this page periodically. 

  1. WHAT WE MEAN BY “PERSONAL INFORMATION” 

“Personal Information” in this Privacy Policy means any information about an identified or identifiable individual. This includes information such as your name, contact details, login credentials, profile information, device identifiers, and any other data that can be linked to you as a person. 

It does not include business contact information alone such as the name, title, business address, or office telephone number of an employee of an organization, if that information is used purely in a business context. 

  1. INFORMATION WE COLLECT 

The information we collect depends on how you interact with Mobilearn and which features you use. 

  1. Information you provide directly 

We may collect: 

  1. Account and profile information 

Name, email address, mobile number, designation, department, organization name, profile photo, and other similar details provided at the time of registration or profile completion. 

  1. Authentication and access details 

Login ID, passwords, one-time passcodes, and other credentials or security information used to authenticate access to Mobilearn. 

  1. Training and learning content 

Responses to quizzes, assessments, surveys, polls, feedback forms, course completion

data, certificates earned, leaderboard status, and other learner analytics associated with your account. 

  1. Communication data 

Information you provide when you contact us by email, support ticket, in-app chat, or via Contact Us forms, including the content of your messages and any attachments. 

  1. Organization-provided data 

For enterprise deployments, your employer or institution may provide certain data to set up user accounts and assign training paths such as employee ID, role, location, reporting manager, and group or business unit information. 

  1. Information collected automatically 

When you use Mobilearn, we may automatically collect: 

  1. Device and technical information 

Device model, operating system and version, app version, unique device identifiers, language settings, time zone, approximate location based on IP, internet connectivity status, screen resolution, and other technical details required to ensure proper functioning and security. 

  1. Usage data 

Logs of how you use the app or web portal, including date and time of access, session duration, pages and screens visited, buttons clicked, videos viewed, time spent on each module, quiz attempts, completion status, error logs, and other interactions within the platform. 

  1. Cookies and similar technologies on the website 
  2. Cookies are small text files placed on your browser to help the site remember you and understand how you use it. 
  3. We may use session cookies to verify your identity when you log in, keep track of navigation on our site, maintain your session, and personalize the experience. Session cookies are deleted when you close your browser. 
  4. We may also use preference or analytics cookies to understand aggregate usage patterns and improve the site. 
  5. No cookies on our site are knowingly served by third party advertisers, unless specifically stated in an additional notice. 
  6. Web beacons and similar tools 

Some web pages or emails may contain small electronic images (for example clear gifs or web beacons) that help us count visits or understand whether an email has been opened. They typically collect limited information such as cookie identifiers, page or email details, and timestamps. They do not, by themselves, identify you personally. 

  1. Information from other sources 

We may receive information about you from:

Your employer or institution, if they provide data needed to create or manage your Mobilearn account. 

Integration partners such as HRMS, CRM, or LMS systems, where your organization has enabled an integration and permitted such data exchange. Third party analytics or communication tools used to support or improve Mobilearn, subject to their own privacy policies and our data processing 

agreements. 

  1. PERSONAL AND SENSITIVE USER DATA (MOBILE APPS) 

The Mobilearn apps may request access to certain device features and data. All permissions are requested with user consent and are used strictly to support business and learning functionalities. 

Depending on your use and your organization’s configuration, the app may request: 

  1. Camera 

Used to capture profile photos, assignment evidence (for example photos from on-ground training scenarios), or to scan QR codes within learning activities. 

  1. Photos and media 

Used to allow users to upload images or videos as part of assignments, feedback, or learning content, and to store training-related media generated or downloaded from Mobilearn. 

  1. Microphone 

Used for features such as voice notes, audio responses, or voice-to-text capabilities in supported modules. 

  1. Storage 

Used to cache learning content for smoother playback, to allow offline access where configured, and to save certificates or other downloadable learning materials. 

  1. Notifications 

Used to send smart nudges, reminders, announcements, course deadlines, leaderboard updates, and other important information related to training and platform usage. 

  1. Device information and diagnostics 

Used to improve performance, troubleshoot issues, ensure compatibility, optimize video streaming, and enhance the reliability of the app. 

Mobilearn does not collect call logs or detailed contact lists by default. If in future any such advanced features are introduced (for example social learning or contact-based invitations), they will be governed by updated permissions and clear in-app descriptions, and will only operate with explicit user or organization consent. 

  1. HOW WE USE YOUR INFORMATION

We use the information we collect for the following purposes: 

  1. To provide and operate the Services 

Creating and managing user accounts, authenticating logins, delivering training content, tracking progress, awarding badges and certificates, maintaining leaderboards, and supporting all other core platform features. 

  1. To support learning and analytics 

Generating dashboards and reports for learners, managers, HR and L and D teams; measuring completion rates, engagement, knowledge retention; and providing insights on learning effectiveness. 

  1. To improve and develop Mobilearn 

Analyzing usage patterns, diagnosing technical issues, optimizing user experience, enhancing app performance, and developing new features, modules, and integrations. 

  1. To communicate with you 

Sending service messages such as password resets, security alerts, feature announcements, maintenance notifications, reminders, and updates; responding to inquiries and support requests. 

  1. To meet legal, regulatory, and contractual obligations 

Retaining records where required by law, responding to lawful requests, and enforcing our Terms and Conditions or enterprise agreements. 

  1. For security and fraud prevention 

Protecting user accounts, preventing unauthorized access, detecting suspicious activity, and maintaining the integrity of our systems. 

Where we use information in anonymized or aggregated form (for example summary statistics or benchmark reports), it will not be possible to identify you personally from that data. 

  1. HOW WE SHARE YOUR INFORMATION 

We do not sell your Personal Information. 

We may share your information in the following limited circumstances: 

  1. Within your organization or institution 

Your learning-related information (for example training status, quiz scores, certificates, leaderboard rankings) may be shared with authorized administrators, HR, L and D, compliance teams, or managers in your organization, according to the configuration set by your employer or institution. 

  1. With service providers and partners 

We may share information with trusted third party service providers who perform services on our behalf, such as cloud hosting, data storage, analytics, email or push notification delivery, error logging, customer support tools, or integration providers. These service providers are only permitted to use information as necessary to provide

services to us and are required to keep it secure. 

  1. For analytics and product improvement 

We may share anonymized or aggregated data with analytics partners or use third party analytics services to help us understand usage trends and improve Mobilearn. Such data does not identify individual users. 

  1. Legal and compliance 

We may disclose your information if required to do so by law, regulation, legal process, or governmental request; to enforce our agreements; to protect our rights, property, or safety; or to protect the rights, property, or safety of our users or others. 

  1. Business transfers 

If we are involved in a merger, acquisition, restructuring, or sale of all or part of our business or assets, user information may be transferred as part of that transaction, subject to applicable laws and continued protection obligations. 

  1. INTERNATIONAL TRANSFERS 

Your information may be stored and processed on servers located within India or in other jurisdictions where our service providers operate. By using Mobilearn, you understand that your information may be transferred to and stored in locations that may have different data protection laws than your home country. In all cases, we take appropriate steps to ensure that your information receives adequate protection in line with this Privacy Policy and applicable law. 

  1. DATA RETENTION 

We retain your information for as long as: 

  1. You have an active account on Mobilearn; 
  2. We are providing Services to your organization; 
  3. It is reasonably necessary for the purposes described in this Privacy Policy; or 4. Required by legal, regulatory, accounting, or reporting obligations. 

After termination of an enterprise contract or account, we may retain certain records for a reasonable period in backup or archive systems for legal, compliance, or legitimate business purposes, after which data will be deleted or irreversibly anonymized. 

Data retention practices may also be governed by your organization’s policies if you access Mobilearn through an enterprise account. 

  1. SECURITY

We take appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. 

These measures may include: 

  1. Transport layer security (for example HTTPS) for data in transit 
  2. Access controls and authentication mechanisms 
  3. Role-based access for administrators 
  4. Regular software updates and vulnerability checks 
  5. Logging and monitoring of system access 

No system is completely secure. While we strive to protect your information, we cannot guarantee absolute security. You are also responsible for safeguarding your username, password, and other access credentials. 

  1. YOUR RESPONSIBILITIES 

You agree to: 

  1. Keep your login details confidential and not share your credentials with others. 
  2. Notify your administrator or Mobilearn support promptly if you suspect unauthorized access to your account or device. 
  3. Ensure that any personal information you provide is accurate, up to date, and lawful for you to share. 
  4. Respect the rights and privacy of other users and not misuse Mobilearn to collect or process information without proper authorization. 
  5. YOUR RIGHTS 

Subject to applicable law and any enterprise agreement, you may have the following rights: 

  1. Access 

To request a copy of the Personal Information we hold about you. 

  1. Correction 

To request that we correct inaccurate or incomplete information about you. 

  1. Deletion 

To request deletion of your Personal Information, subject to legal and contractual limitations.

  1. Restriction or objection 

To request that we restrict certain processing or object to some uses of your information, where permitted by law. 

  1. Data portability 

To request that certain data be provided in a structured, commonly used, and machine-readable format, where technically feasible and legally required. 

For users accessing Mobilearn via their employer or institution, many of these rights may be exercised by contacting your organization’s administrator. You can also write to us using the contact details at the end of this policy, and we will coordinate with your organization where required. 

  1. COOKIES AND TRACKING CHOICES 

You can usually configure your browser to block or delete cookies. However, some parts of our website or web-based Services may not function properly if you disable cookies. 

Web beacons and similar technologies generally operate together with cookies, so disabling cookies may reduce but not fully prevent such tracking. Some tracking is essential for security and core service operation. 

  1. CHILDREN’S PRIVACY 

Mobilearn is intended for use by adults and by learners who are authorized by their employer, institution, or parent or guardian. We do not knowingly collect personal information directly from children without appropriate consent. If you believe that we have collected personal information from a child without necessary authorization, please contact us and we will take appropriate steps. 

  1. FORCE MAJEURE 

We are not responsible for any failure to comply with our obligations under this Privacy Policy or related agreements where such failure results from events beyond our reasonable control, including natural disasters, war, riots, acts of terrorism, strikes, government actions, or widespread internet outages. 

  1. RELATIONSHIP WITH TERMS AND CONDITIONS 

All use of Mobilearn Services is also subject to our Terms and Conditions or any applicable master service agreement with your organization. If there is a conflict between this Privacy Policy and those terms regarding operational obligations, the Terms and Conditions or enterprise agreement will prevail. 

  1. COMMUNICATION CONSENT

By providing your contact details and using Mobilearn, you agree that we, or our authorized service providers, may contact you by email, SMS, phone calls, in-app messages, or push notifications to deliver: 

  1. Service-related messages such as OTPs, security alerts, reminders, and critical updates 2. Information related to training programs, new features, and platform improvements 3. Feedback requests and support communication 

If you do not wish to receive certain types of communication, you may: 

  1. Use opt-out links where available in emails 
  2. Change notification settings within the app 
  3. Contact us or your organization’s administrator to adjust preferences 

Some strictly necessary communications relating to security, account management, and core service operations cannot be opted out of as long as you continue to use the Service.
